Property management admin: a use-case example

Talk to us

This page is an example of the kind of work Me² does. It isn’t a client list, and property management isn’t the only kind of business we work with.

A property manager’s day is meant to be about owners, tenants and properties. In practice, much of it goes on admin: arrears reminders, lease paperwork, chasing tradespeople, booking inspections and keeping on top of a shared inbox that never empties.

Me² takes that admin off the property management team, and already does this work for an Australian agency with more than one office. A trained Me² operations specialist with property management experience owns the work, AI tools do the drafting, and anything that needs a licensed agent’s decision stays with the agent.

What the work looks like

Rental arrears. We track arrears, keep a follow-up schedule for each tenancy and prepare notices for the property manager to review. We never issue a notice on our own.

Leases, renewals and rent reviews. Lease documentation, renewals and rent review paperwork prepared from the agency’s templates and tenancy records, checked against the source, and ready for the property manager to approve.

Maintenance coordination. Requests logged, tradespeople, owners and tenants kept in the loop, and the job followed through to the end.

Inspections. Inspections scheduled, and reports checked for completeness and accuracy before they go to the owner.

The shared inbox. Enquiries sorted and prioritised, routine questions answered with professional responses, and the urgent ones passed to the right person straight away.

Reporting and records. Records kept up to date and reports prepared for the team.

Approval limits, written down

Property management runs on licensing rules and on trust between owners, tenants and agents. So before we start, we write down with the agency what Me² does, what needs a property manager’s approval, and what only the licensee can do. All work is done within those agreed procedures and approval limits, and tasks that need an authorised agent’s approval stay subject to it.

Every process is written down and belongs to the agency. If a property manager is on leave, or a Me² team member is away, nothing stops.

Why a dedicated person matters here

Tenancies have history. A tenant who is always a week late but always pays needs a different touch from a new arrears case. The agency gets one dedicated Me² person as its main contact, who learns the portfolio, the owners’ preferences and how the agency likes things done. They bring in our finance and admin specialists where needed and report back like part of the team.

People backed by AI, never AI on its own

AI drafts the reminders, pre-fills the paperwork and summarises the inbox. A person checks every name, date, address and amount against the property management system before anything is sent. If something goes wrong, the agency hears it from us. We fix it at no charge and update the process.

Working hours and replies

Our team works from Phnom Penh, Cambodia, starting early where needed to line up with Australian business hours, and we usually reply within 2 hours, evenings and weekends included.

Data and privacy

Only the Me² people doing the agency’s work can see its data. Each has their own login, only to the systems their job needs, and we remove it when the work ends. The data is never used to train AI models.

Starting small

Many teams start with one job, such as arrears follow-up or the maintenance inbox, as an extra set of hands, quoted per job. Others hand over the whole property management admin as part of the whole back office, quoted for the business as one monthly fee billed in advance. Back-office work is month to month with 30 days’ notice either way, and set-up is paid up front.

If you run a different kind of business, the same approach applies. See admin and operations.
